Main Accountabilities:
People moves:
Run monthly movement report.
Data Management:
• Prepare and complete mass upload for major data changes and send to HRBP. (eg. Bulk data changes etc)
• Track and follow up on the actioning of data changes with HR Services.
• Run monthly position data reports, organize the data by Function / Org Unit and share info for revision with the HRBP. Check all vacant positions to see which need to be delimited and which are true vacancies
• Work closely with line managers to assist with processing promotions/movements through PeopleSoft for employees Work level A - D
• Regularly follow-up on data cleansing of Master Data in PeopleSoft with HRBP.
• Provide/ consolidate key HR information for their HRBP group (e.g. people moves, diversity stats, PDPs, listing nominations, LDT) and other HR processes (e.g. functional resource committee templates).
• Complete the monthly headcount tracker.
• Run reports as per request of the HRBP (terminations, new hires, position allocation, employee data etc).
Business adoption & Process Improvement (inc Service Delivery):
• Work closely with Peoplelink team on monthly HR inductions for new joiners.
• Champion HRT processes in the team supported - acting as a super user, facilitating understanding of processes, tools, portal, roles and responsibilities.
• Regularly conduct cascades across KOQB eg. PeopleSoft, new e-reward etc, e-pdp, policies. Be a super user and able to provide desk side support to ensure that the business are able to adopt the new systems
• Support their HR services team by being the "ear to the ground" on major changes and volumes coming up (to be approved by HRBP)
• Raise issues with the service delivery process through escalations to their HRBP and Service Delivery community
Provide HR related coaching and counselling to KOQB based employees.
Exits
• Ensure that employee & line manager are aware of the exit process. Closely assist line managers on exit process through PeopleSoft.
• Ensure replacement recruitment is kicked-off by closely assisting line managers to raise JRFs. Ensure employee receives clearance exit docs prior to them physical leaving and advise them of exit process.
• Should the employee owe money to Unilever, ensure EOSB is signed and follow up on recovery of funds.
• In the case of Death in Service, assist the Line Manager with the exit process & obtaining clearance documents.
• Conduct exit interviews for all KOQB employees WLA-WL1 and share feedback by soft copy with HRBP and Service Delivery team.
Workforce Admin
• Ensure reporting lines on PeopleSoft are correct. Handle queries and support.
• Follow up with Line Manager to ensure all Job Data Changes have been actioned.
• Support employees for application of loans (education, medical, rent advance, etc.)
On boarding of new employees (done at the beginning of the month for all Head Office staff - HO HR Ops to rotate)
• Ensure all new hire forms have been sent to HR services.
• Onboard the employee on the portal, where to find forms and policies
• Learning Management System - guide the employee on the use of LMS.
• Take the employee through the reward & benefits page
• High level overview of PDP process & Compass
• Provide high level overview of the recruitment process
Reward
• Ensure that Line manager is clear on necessary authorities, compensation changes that are outside of policy.
• Support and coach LM on process and understanding of relevant signatories
• Support HRBP in staff cascades on Reward communication and initiatives
• April Review - Receive download, check info and ensure all people accounted for, input increase parameters as per guidelines, and send to HRBP for verification and sign off.
Permanent Recruitment
• Coach LM on the recruitment process and ensure that vacancies are submitted through Talent Plus Online.
